Electrifying company fleets

Charging demand calculator: From gut feeling to reliable basis for decision-making

March 9, 2026

An electric vehicle fleet often makes sense for a company not only from an environmental perspective, but also from an economic one. Simple, robust key figures are important as a first basis for decision-making when it comes to electrification. In cooperation with the Swiss Mobility Association, INFRAS has developed a guide and a charging demand calculator as an Excel tool.

Imagine Lisa, the fleet manager of a medium-sized company, is faced with the question of how to electrify her fleet. There are several reasons to electrify. But when it comes to the practicalities of electrification, Lisa has important questions about range, the number of charging points needed, grid connection and the costs.

Fleet manager Lisa has a toolkit to help her on her way to an electric car fleet, including a guide and a new Excel tool called the «Fleet charging demand calculator». INFRAS developed this with the support of the Swiss Mobility Association for LadenPunkt, part of the Swiss Federal Office of Energy.

Planning takes into account vehicles and charging points

Lisa approaches the project in six steps. First, she checks the feasibility in a four-step planning process. The four stages of planning include

  • Perform fleet analysis
  • Agree on implementation targets
  • Involve stakeholders
  • Develop a charging concept

The analysis includes elements such as segmentation of the existing fleet, driving and usage profiles, and charging options.

To estimate charging requirements, the number of charging points, the necessary connection power – as well as the approximate costs and CO2 savings – Lisa uses the Excel tool «Charging demand calculator for fleets». This enables her to make a quick initial assessment within a few minutes.

Lisa also considers change management early on to reduce employee resistance and increase motivation.

Implementation focuses particularly on employees

Once the implementation targets and charging concept for the electrification of the company fleet have been defined, fleet manager Lisa can focus on implementation. In the six-step roadmap, these are stages five and six:

  • Create an implementation plan
  • Evaluate and report

A clear implementation plan makes it easier for everyone in the company to work together. Lisa also reviews the implementation goals set and evaluates the lessons learned.

The guide and Excel tool enabled Lisa to plan and implement the electrification of her fleet efficiently. As a result, acceptance of the new electric cars within the company is high - and the new fleet not only reduces CO2 emissions, but also saves money overall.
